TEXAS 4-H ROUNDUP

Texas 4-H Roundup is held annually in College Station on the campus of Texas A&M University. Texas 4-H Roundup is a qualifying event for youth between the ages of 14 and 18 that have successful placed in a qualifying spot at the district level. County and district Roundup's are open to all ages of 4-H members from 9 to 18.

Texas 4-H Roundup includes approximately 40 different contest that test 4-H members on life skills in such attributes are decision making, public speaking, organization, and working with others. These contests include such things as Fashion Show, Food Show, an assortment of judging contests, and educational presentations.

HISTORY

Texas 4-H Roundup is a 62 year event of Texas AgriLife Extension Service and the Texas 4-H and Youth Development Program. Roundup provides an opportunity for 4-H members from across the state to venture to the campus of Texas A&M University to demonstration their knowledge and skills they have acquired through their 4-H project work.

ELIGIBLE PARTICIPANTS

Texas 4-H Roundup is not an open participation event for all youth and adults. It is open to those youth who have qualified at the district level in Roundup contests and advanced for competition to the state level, 4-H members that are being awarded a Texas 4-H Youth Development Foundation Opportunity Scholarship, and 4-H members serving on a state level leadership group, such as Texas 4-H Council, Tech Team, Fashion Board, etc.

Adults that are invited to participate are parents, guests of contestants, volunteer leaders/coaches, and county Extension agents. Regardless of being a youth or an adult, ALL participants are required to pay a registration fee.

YOUTH CONTESTANTS: All contestants must have passed their 14th, but not their 19th birthday, before August 31, 2008. Contestants must have been born during the period beginning September 1, 1989 and ending August 31, 1994. All contestants in a contest (except for Computer) must have competed at the district level and placed in a placing that allows them to advance to Texas 4-H Roundup. ALL contest participants and scholars are required to pay the full registration for Texas 4-H Roundup.

All contestants registered will be verified and certified at the county, district, and state levels prior to being accepted for participation into Texas 4-H Roundup. When certifying contestants, all information entered into the registration program will be reviewed, including age, prior participation, etc.

4-H SCHOLARS: 4-H members that have been selected to receive a Texas 4-H Scholarship are required to register for Texas 4-H Roundup prior to Roundup for orientation and scholarship assembly. Those 4-H scholars not registered will not be awarded a scholarship.

Parents and family members are also required to pay the registration fee.

LEADERSHIP TEAM MEMBERS: Members of Clothing Board, Technology Team, and Food and Nutrition Project Team who have been assigned a particular task at Texas 4-H Roundup are allowed to register and attend Texas 4-H Roundup.

TEXAS 4-H COUNCIL MEMBERS: All members of the Texas 4-H Council are required to register for full-time participation (all nights lodging, Monday thru Friday, and necessary meals).

ADULTS: Parents, leaders, and coaches of eligible participants are allowed to register for Texas 4-H Roundup. All adults who plan on attending any part of a contest (i.e. coach of the livestock judging team just coming in for the contest) are required to register. This is a requirement of the event application and insurance. Parents, leaders, and coaches can either register as a full-time attendee or a day attendee, and may do so on 4-H CONNECT or on-site at Roundup Headquarters.

COUNTY EXTENSION AGENTS: County Extension agents planning to attend Texas 4-H Roundup are required to register for the event. Registration for all county Extension agents must be completed through 4-H CONNECT.

CHAPERONE RATIO

All youth attending Texas 4-H Roundup must be accompanied by a chaperone in a ratio of 1 adult to 8 youth. All chaperone ratios must adhere to gender (i.e. if you send 4 males and 4 females, then you need 1 male chaperone and 1 female chaperone).

All youth will be required to declare who will serve as their primary chaperone during the registration process on 4-H CONNECT. Youth registration not having an adult chaperone will not be accepted.

REGISTRATION FOR TEXAS 4-H ROUNDUP

Cost:

All contestants and scholarship recipients must pre-register for full-time registration using 4-H CONNECT. Adults that wish to have on-campus housing and/or meals must also pre-register via 4-H CONNECT during the registration period below. On-site registration will only be available for day registrations. No housing, meals, and/or workshops will be sold on-site .

May 12 - May 22, 2009 Late Registration Period ($50.00 late fee) and registration change period ($15.00 change fee)

REGISTRATION LOCATION, TIMES, AND PROCESS

Packet pick-up is allowed by individuals or as a county group. If a county Extension agent, or county delegation coordinator, is planning on picking up the entire county's registration, it is his/her responsibility to designate a location and time to meet and distribute materials. The Roundup registration staff will not be responsible for redistributing registration packets once they have been signed for.

Packet pick-up for Roundup 2008 will be held in Room 292 of the Memorial Student Center.

At this location, registered participants will pick up their registration packet. Parents, siblings, grandparents, and other relatives/friends that are attending for only one day, can register on-site at the on-site/information desk located in front of Room 292.

Participants arriving on Wednesday or Thursday will have to go to Commons Housing Office after picking up their registration packet to receive dorm assignments and keys. (Those staying in hotels are responsible for their own travel to check in and check out.)

REGISTRATION PAYMENT

All payments for Texas 4-H Roundup must be received in the Texas 4-H Youth Development Foundation Office by Friday, May 22, 2009. Registrations not having been paid by the close of May 29, 2009 are subject to cancellation.

To prevent the possibility of cancellation, everyone is encouraged to use the credit card or e-check payment option on 4-H CONNECT. If a COUNTY/CLUB is mailing a payment, it must be mailed to:

PICKING UP YOUR REGISTRATION PACKET

All participants (youth, volunteers, leaders, parents, county Extension agents, guests, faculty) are required to provide the necessary forms listed below in order to receive their Texas 4-H Roundup Registration Packet. This is a matter of risk management and must be followed.

ADULTS
(Parents/Leaders/Volunteers and County Extension Agents) are required to complete and turn in the following prior to receiving their registration packet.

MEDICAL CARE

Limited, secondary medical/accident care insurance covering non-existing conditions/illnesses is provided for registered Roundup youth participants at two (2) local hospitals: St. Joseph's and College Station Medical Center; and one (1) medical clinic: Care Plus Medical Center. All emergencies MUST be reported to the Roundup Headquarters in order to ensure proper processing of insurance coverage.

Procedures for filing a medical claim (these must be adhered to exactly or the claim will not be paid).

•  All questions must be answered in full for the claim to be processed.
•  The insured (parent or guardian, if minor) must complete the insured's section in full.
•  Completion of all sections.
•  Attach itemized bills showing: (a) name of patient, (b) diagnosed condition, (c) date of treatment, (d) nature of treatment, and (e) charge per treatment. Make a copy of everything before you put your packet in the mail.
•  It is the responsibility of the insured (parent or guardian, if minor) to send in the Claim Form to the Texas 4-H Office. The organizational certification section must be completed and certified by an official of the sponsor organization.
•  Must be received IN the Texas 4-H Office by June 30, 2009. Send all completed forms, itemized medical bills, etc., to:

LODGING

Youth and adults that wish to stay in 4-H arranged housing will be housed on the campus of Texas A&M University in the South Side Dorm area. Guidelines for Roundup arranged housing are:

•  Youth will be housed with youth, and adults will be housed with adults. Youth members will not be housed with parent/guardian. NO EXCEPTIONS!!
•  Housing will be done by gender then by district, then county.
•  Genders will be housed in either separate dorms or, at least, separate floors within the dorms. (Texas 4-H and Texas A&M University Residence Life reserves the right to house participants to be efficient for both the event and facilities.)
•  Participants can request roommates; however, they must be from the same county and district. Requests will be filled as best as possible.
•  No participant in Roundup housing is allowed to change rooms without notifying and requesting the change with Roundup housing officials.
•  Participants will be required to provide all bed linens, pillows, bath towels, and personal items.
•  Roundup participants will receive their registration packet (nametag, program, meal tickets) at Roundup Headquarters at MSC 292, but will be required to go to Housing Headquarters located in the Commons of the Southside Dorm complex to receive housing assignment, access card, and room key after Tuesday.
•  Monday night housing is being provided as a convenience in 2008 for 4-H members having a Tuesday morning contest. All 4-H members planning on Monday night arrival must have their own chaperone because Texas 4-H Roundup does not officially begin until 7:00 a.m. on Tuesday, June 10, 2008.

Check-in to the dorms is not allowed until 3:00 p.m. on Monday, June 9, 2008. This includes EVERYONE - Texas 4-H Council, scholars, contestants, etc.

MEALS

Meals will be available for all Roundup participants through the Texas A&M University Dining Services. All meals will be served in the Memorial Student Center Cafeteria located on the 1 st floor.

Meals will be purchased in packages that can be used for both meals and snacks sales at Dining Service facilities.

TEXAS 4-H ROUNDUP T-SHIRTS

Show your Texas 4-H pride with the purchase of the official Texas 4-H Roundup shirt. Shirts are available for PRESALE ONLY through Texas 4-H Roundup registration. Additional t-shirts may be purchased for family members or 4-H clubs through Roundup registration via 4-H CONNECT.

T-shirts will be distributed at Roundup Registration. No Roundup t-shirts will be available for sale during Texas 4-H Roundup.

Wear your shirts on Thursday of Roundup.

PARKING

Youth participants are NOT allowed to drive to Texas 4-H Roundup.

Parking passes must be purchased on-line through 4-H CONNECT. Parking passes will be mailed to each adult ordering one prior to Texas 4-H Roundup. No parking passes will be available for sale at Roundup. Permits should be displayed on dashboard while parked on campus.

Parking on the campus for Texas 4-H Roundup will be for the lots around MSC Arena, the Southside Parking Garage, surface lot at the corner of Bizzell and Lewis Street (dorm area), and the surface parking lot located directly across the street from the Kleberg Animal Science Building. Each adult planning on attending Texas 4-H Roundup may purchase a parking pass that will allow parking in any of the above mentioned lots.

Parking in any other lot than those designated on the Texas 4-H Roundup Parking Permit may result in a ticket being issued by the Texas A&M University Police Department. The Texas 4-H and Youth Development Program and Texas 4-H Roundup will not be responsible for any parking violations, nor will assist you in their dismissal.

Parking with a 4-H permit will NOT allow parking in the University Center Garage (MSC/Rudder Tower). You may use the University Center Garage at a fee of up to $15.00 per day.

EDUCATIONAL WORKSHOPS

Texas 4-H Roundup will once again provide the opportunity for adults and senior 4-H members (must be in same age range as contestants) to participate in educational workshops during Roundup. These workshops are designed to be senior 4-H member project enhancement experiences that may only be achievable on a state-wide level. The workshops can be attended by both senior aged contestants and non-contestants (4-H members coming to Roundup just for the workshops). Any senior 4-H member attending as a workshop participant is expected to sign up for at least one workshop per day and attend that workshop.

Workshop participation is limited and is done at a first-come, first-serve basis. Workshops for 2009 will be announced in the Spring of 2009.

Have you seen the latest? Come check it out at the Volunteer Leaders' Association of Texas Sales Booth at Texas 4-H Roundup! So, make plans now to buy all of those judges' gifts, awards, and special gifts. Affordable items will be available for purchase, and look for some new and exciting items, including scrapbook materials and jewelry!

Proceeds from the booth support collegiate level 4-H scholarships and volunteer training opportunities. The booth will be located on the first floor of Rudder Theater.

NOISE MAKERS IN RUDDER THEATER AND AUDITORIUM

The Rudder Theater Complex will only allow Spirit Towels and Bandanas to be brought into Rudder Theater and Auditorium. ABSOLUTELY NO BALLONS, FLAGS, PANS/POTS/BUCKETS, SIGNS, OR OTHER MATERIALS WILL BE ACCEPTED.

OPPORTUNITY FOR 4-H MEMBERS TO SING NATIONAL ANTHEM

Texas 4-H Roundup will showcase three 4-H members or groups of 4-H members each day for the singing of the National Anthem during the General Assemblies. Information for the applicant is below.

GUIDELINES:

  • Entries may be submitted on an individual basis or as a group.
  • Groups cannot be made up of more than four (4) members. Three individuals/teams will be selected to perform - one at each assembly held on Tuesday, Wednesday, and Thursday.
  • Video tapes, along with contact information, must be received by May 1, 2009 (NOT POSTMARKED) to Mrs. Courtney Dodd, Extension Program Specialist in College Station. Individuals/teams will be announced by May 8, 2009.
  • Open to all 4-H members regardless of age (9-19).
  • 4-H member does not have to be a contest participant of Texas 4-H Roundup.
  • Video must be of the individual or group (up to four 4-H members) actually singing the National Anthem.
  • Videotape must be submitted on a DVD or flash drive. DVD or flash drive will NOT be returned. VHS tapes will not be accepted.
  • Singing must be in a capella style (no music).
  • If selected to sing during Texas 4-H Roundup, performance will be done a capella.
  • Videos will be evaluated by a panel of judges with music experience.
  • If selected to sing and not a Roundup participant, singer(s) will have Roundup registration paid for, but will be responsible for any/all meals, transportation, and lodging. Only senior aged members are allowed to stay in University housing.
  • Roundup staff will be selecting the nights that the individuals/groups will be performing.

All Texas 4-H Roundup contestants are required to bring thank you notes with them for their contest and general Roundup sponsors. All thank you notes will be turned in prior to their competition. All thank you notes should be thanking the donor(s) for their continued support of the contest, Texas 4-H Roundup, and the Texas 4-H and Youth Development Program.

Thank you notes should be reviewed by a parent or adult leader prior to placing them in the envelope. All thank you notes will be returned back to the Texas 4-H and Youth Development Office and mailed after Roundup to the donors. Thank you notes can be written on any form of stationary the contestant wishes. All notes must be in a DONOR-ADDRESSED, stamped and unsealed envelope.
